special event & catering policies
Included in our pricing: All wait staff, kitchen staff and an onsite catering manager. All fine quality service equipment and items are included. (chafing dishes, serving utensils, trays, kitchen equipment …) Other options are available and may require an additional charge. After dinner beverage service includes Graffeo coffee, Mighty Leaf tea, cream and sugar. Beverage napkins for passed hors d’oeuvres, bar service and cake service. Personalized assistance with locating vendor services for your event. Votive candles. Bread and butter service.
Deposits & Payments: In order to secure your requested date, “fig CATERS!” requires a 25% deposit and a credit card authorization. An additional payment of 50% of your total estimated event costs is due 14 days prior to your event date. The final payment is due the night of your event. Failure to make a scheduled payment may result in the loss of event date with the girl & the fig CATERS! All previous payments will be retained by “fig CATERS!” “fig CATERS!” reserves the right to require that the girl & the fig, LLC be named as an additional insured under the clients or venues insurance policy. All prices do not include a 20% service fee and 7.75% sales tax. California State Law requires businesses to charge sales tax on the service fee.
Cancellation Policy: Cancellation within 90 days of your event date will result in a 10% non-refundable fee. Cancellation within one month of your event date will result in a 25% non-refundable fee. Cancellation within one week of your event date will result in “fig CATERS!” retaining all deposits.
Guest Counts: A final guest count, the minimum number the client is financially responsible for on the day of the event, is due 14 days prior to the event date. If client does not provide a final guest count by the due date, the guest count on the signed contract will be used as the final number. If the guest count increases within the two weeks prior to the event date by more than 20%, an additional service charge of 10% will be assessed on the additional number of guests. “fig CATERS!” may not be able to accommodate additional guests with less than 7 days notification. The final guest count cannot decrease within the two weeks prior to the event date.
Menu Selection: The client is responsible to give “fig CATERS!” manager the exact menu selections14 days prior to the event. All food and food service is to be provided by “fig CATERS!” for the contracted event time period. “fig CATERS!” reserves the right to substitute items that become unavailable in the open market or that exceed reasonable cost. Client will be notified in the event of such substitutions. Event menus are created by the girl & the fig chefs and may be amended only with the prior approval. Custom menu planning is available for an hourly rate of $125. “fig CATERS!” reserves the right to refuse to provide food or service that is not consistent with the vision and goals of the company. Vendor meals are available for 50% of the menu price, plus tax. All vendor meal requests must be submitted 14 days prior to the event.
Beverage Service: Beer, wine and liquor is available for an additional fee plus tax and service charge. All California liquor laws will be observed. Specialty non-alcoholic beverages, sodas and bottled waters are available for an additional fee, plus tax and service charge. All wine not purchased through “fig CATERS!” will have a corkage fee per each 750 ml bottle.
Rentals: Tables, chairs, linens, glassware, silverware and dinnerware are available through “fig CATERS!” for an additional fee, 10% handling charge, plus tax. If the client chooses to provide his or her own glassware, silverware and dinnerware, the minimum quantity to be provided will be the final guest count, plus 10%, for each beverage serving and food course contracted. We will make every effort to treat all property with respect, however we may not be held liable for damages to rentals & equipment not provided by “fig CATERS!” A copy of the rental agreement is to be provided to “fig CATERS!” no later than one month prior to the event date. We recommend purchasing a damage waiver whenever possible.
Miscellaneous Event Charges: Ceremony chair set up and break down is $2.50 per person There is a $3.50 per person fee for providing and serving outside desserts. “fig CATERS!” can not be held liable for handling outside desserts. Bartenders are billable at $40.00 per hour. Additional requested chef, hostess or attendant is billable at $50.00 per hour. Pre-printed menus are $2.50 each
